Assistants are changing quickly
On 9 September 2026, Google Workspace announced new agentic capabilities across its applications, with a progressive rollout depending on plans. This illustrates why a comparison needs a date and explicit access conditions. An announcement does not mean a feature is already available to every account.
To choose between Microsoft Copilot, ChatGPT Enterprise and Gemini in Workspace, we recommend comparing tasks. Vendor publications provide context; the decision depends on your workflows, data and organisation. The table below is a verification framework, not a universal product ranking.
Start where your team already works
Identify the tools carrying most of the work: email, documents, meetings, spreadsheets, business applications and code repositories. Locate authoritative sources as well. An assistant may be pleasant to use yet create too much switching if important information remains elsewhere.
If work is strongly organised around Microsoft 365, Copilot is a natural candidate to test there. For a Google Workspace-centred team, examine Gemini in the applications people use. ChatGPT Enterprise can enter the comparison for cross-functional research, writing or analysis. This initial orientation does not replace a pilot or verification of included features.
Build three comparable scenarios
Choose one synthesis task, one analysis task and one preparation task. Examples include producing a note from approved documents, comparing proposals against a matrix and preparing an agenda from a client dossier. Use identical sources and expectations for each candidate.
Observe fidelity, ease of checking, required operations and rework time. Involve the people who actually perform the task. A test conducted only by an expert user may hide difficulties other teams will encounter.
Examine access and administration
For each plan under consideration, verify identity mechanisms, source permissions, sharing rules and relevant administration options. Test an account with fewer permissions and a document whose access has been revoked. Company expectations should become observable criteria.
Data, connector, retention and processing-location terms need checking in current documentation. Record unconfirmed information as open questions. An enterprise plan name does not establish that every project requirement is covered.
Compare the cost of a successful workflow
Licence price is only one component. Include source preparation, potential integrations, training, support and output review. Make user-count and usage-frequency assumptions explicit. Exact prices must be checked at purchase time.
A useful measure may be the cost per correctly prepared dossier or verified task. Compare it with a baseline while preserving differences in scope. A solution closer to existing habits may need less support; another may better fit a specific need. The pilot makes this trade-off concrete.
