Define authoritative sources
For a customer, order or invoice, identify the application responsible for each field. Describe matching identifiers and update rules. If two systems can modify the same information, define conflict handling before synchronising.
Document the service account’s permissions and limit them to the intended process. Reading data and modifying accounting records require different authority. Separate access so you can start with preparation assistance and expand actions after focused acceptance checks.
Design an operation that can be retried
A connection can fail after a successful write but before its acknowledgement arrives. Recovery should find the existing operation. Use a stable identifier and retain processing state. Test duplicate messages, late responses and unavailable systems.
The record should show input data, the proposal, any approval and the external result. Avoid logging secrets or unnecessary data. After failure, an operator should understand what remains to do without guessing whether the action already happened.
Evaluate one end-to-end process
Choose a limited process, such as preparing a sales dossier from authorised information. Compare total time, corrections and matching errors. Gradually add steps that demonstrate value.
Acceptance should involve people who understand the business and those operating the applications. Provide a recovery guide, alert thresholds and an owner. The desired result is a reliable, understandable process whose autonomy matches the risks of its actions.
